Why a group thread misses the job
Owners ask each other which app to buy. That does not tell you whether last Tuesday’s unanswered rings were new consults or people already on the book. You need intake on the number already on your listing and your door. A hospital-style switchboard page is the wrong shape for an owner-led med spa.
Owner math for one missed night
Take last month. How many after-hours rings show on the carrier log? How many were new consult requests versus clients already scheduled? If a new consult is a real slot on your calendar, that is the number coverage has to beat. Do not borrow a vendor’s lifetime chart. Use your consult fee. If the honest count is one ring a month, do not buy a bigger stack to feel covered.
What the line must do
- Answer. Voicemail is not intake.
- Take the reason for the call in the caller’s words. No diagnosis on the line. No treatment advice.
- Apply your rules: what is a booking request, what waits until morning, and what is directed to emergency services when your policy says so.
- Leave a structured note the front desk can open at opening: name, number, what they asked, and the action already taken.
That is administrative intake. It does not replace clinical judgment. It stops the book from leaking while you are with a client or the office is closed. A comparison list of ten answering brands will not run this count for you.
